Transactions & Finances is the full ledger for your business — every Amazon order, refund, reimbursement, and removal auto-synced, plus your own expenses, recurring costs, and mileage all in one place. Everything that flows through Transactions feeds directly into your P&L statement.
Transactions & Finances is currently in development. This documentation reflects the planned feature set. You'll be notified when it becomes available in your account.
What's Included
1Orders & Refunds Auto-sync
Every FBA and FBM order is pulled from Amazon automatically, with buy cost matched from the correct FIFO lot. Refunds are recorded instantly and reflected in your P&L.
2Reimbursements & Removals Auto-sync
Reimbursements from Amazon for lost or damaged inventory are tracked and confirmed. Removal fees and affected units are logged so every dollar flows correctly through your P&L.
3Income & Expenses Manual
Add any income or expense that doesn't come from Amazon — prep fees, subscriptions, storage, shipping supplies, software, or non-Amazon sales.
4Recurring Entries Manual
Set up recurring expenses (monthly software, weekly prep fees, etc.) once, and they log automatically on schedule — no need to re-enter them every period.
5Mileage Tracking Manual
Log business mileage per trip for tax deduction purposes. Enter start/end location or just the distance — SellerGuards calculates the deductible amount using the IRS standard rate.
Orders & Refunds
Amazon orders sync automatically from your connected Seller Central account. Each order record shows the full detail needed for P&L accuracy.
Per-order data
Order ID, purchase date, SKU, ASIN, units sold, sell price, Amazon fees (referral + FBA), buy cost from FIFO lot, and calculated net profit per order.
Refunds
Refunds are linked to their original order and shown as negative transactions. The net impact (refund amount minus restocking fee, if any) flows into your P&L automatically.
Filtering & search
Filter orders by date range, SKU, fulfillment type (FBA/FBM), or order status. Search by order ID or ASIN for quick lookups.
Adding Expenses & Income
Non-Amazon transactions need to be entered manually. These include any costs or income that don't appear in your Amazon account.
1
Go to Transactions → Add Entry
Tap Add Entry from the Transactions screen. Choose Expense or Income from the type selector.
2
Fill in the details
Enter the amount, date, category (e.g., Prep Fees, Subscriptions, Supplies), and an optional description.
3
Optionally set as recurring
Toggle Recurring and set the frequency (daily, weekly, monthly). The entry will repeat automatically on schedule without any further action from you.
4
Save — it's reflected in your P&L immediately
The entry appears in your transaction list and is automatically included in your P&L statement for the matching period.
Common expense categories
Prep Fees
Charges from your prep center for labeling, poly-bagging, or bundling before shipment to Amazon FBA.
Shipping & Freight
Freight cost to ship from your supplier to your prep center or directly to FBA warehouses.
Subscriptions & Software
Recurring costs for tools and software you use to run your business (SellerGuards, repricing tools, listing software, etc.).
Supplies
Boxes, poly bags, labels, tape, and other consumable shipping or prep materials.
Other / Custom
Any expense that doesn't fit a preset category. Add a description to keep it identifiable in exports.
Mileage Tracking
If you drive for business purposes — sourcing trips to stores, visits to your prep center, post office runs — those miles are tax-deductible. SellerGuards makes it easy to log each trip and calculates the deduction automatically.
1
Go to Transactions → Mileage
Open the Mileage tab from the Transactions screen.
2
Add a trip
Enter the date, distance in miles, and a short purpose description (e.g., "sourcing run — Walmart + Target").
3
SellerGuards calculates the deduction
The standard IRS mileage rate is applied automatically. Your total deductible mileage for the year is visible at a glance on the Mileage tab.
Tax tip: Log mileage at the time of each trip — it takes 30 seconds and the cumulative deduction adds up quickly for active sourcing sellers. Your total mileage log is included in the year-end P&L export for your accountant.
